Syllabus reference: BHA105, Semester 1, Unit 1 (Rooms Division Operations — Front Office / Housekeeping overlap)
In short: A rooms division organisation chart shows how Front Office, Housekeeping and Engineering report under one Rooms Division Manager. Students must draw the hierarchy from General Manager down to operational posts, label every box, and explain daily room-status coordination between the three wings for BHA105 answers.

Every first-year B.Sc. HHA student meets the rooms division organisation chart early in BHA105. In Indian city hotels and in Gulf properties alike, Rooms Division usually combines Front Office, Housekeeping and Engineering so that room readiness, guest contact and maintenance sit under one reporting line. Understanding this chart is not just a drawing exercise for exams — it is how a five-star lobby in Mumbai or a business hotel in Dubai keeps room status accurate from check-in to check-out.
This note walks through the hierarchy, role of each post, the Engineering link, and how to present the chart for 5- and 10-mark answers. Use it with the official NCHMCT B.Sc. HHA syllabus PDF.
What is Rooms Division in a hotel?
Rooms Division is the cluster of departments that create, sell and maintain the guest room product. In most full-service hotels it includes:
- Front Office — reservations, reception, concierge/bell desk, guest relations and night audit.
- Housekeeping — guest rooms, public areas, linen and laundry coordination, and lost-and-found.
- Engineering / Maintenance — often matrix-reported: day-to-day room maintenance reports through Rooms Division while major plant and projects may report to the General Manager or Chief Engineer independently.
In smaller Indian hotels the same people may wear two hats (for example, a Duty Manager covering both Front Office and Housekeeping supervision at night). In large Taj, Oberoi, ITC or Marriott properties in India — and in Jumeirah, Rotana or Accor hotels in Dubai and Abu Dhabi — each wing has a clear hierarchy with Assistant Managers, Supervisors and Attendants.
Rooms division organisation chart: typical hierarchy
Exam answers usually show a vertical chart. A standard large-hotel pattern looks like this:
| Level | Typical title | Reports to |
|---|---|---|
| Top | General Manager / Resident Manager | Owner / Corporate |
| Division head | Rooms Division Manager (RDM) | GM / RM |
| Department heads | Front Office Manager; Executive Housekeeper; Chief Engineer* | RDM (Engineer may also report to GM) |
| Assistants | Asst. Front Office Manager; Asst. Executive Housekeeper; Duty Engineers | Department head |
| Supervisors | Lobby Manager / GRE; Floor Supervisor; Shift Engineer | Assistant / Manager |
| Operational | Receptionists, Bell boys, Room Attendants, Public Area Attendants, Technicians | Supervisor |
*In many Indian hotels Engineering is a separate department; the syllabus still expects you to show its link to Rooms Division for room readiness.
Front Office wing under Rooms Division
The Front Office Manager owns guest contact from reservation to departure. Under that post you typically find:
- Reservations Manager / Supervisor
- Reception / Front Desk Agents
- Lobby Manager or Guest Relations Executive
- Bell Desk / Concierge
- Telephone Operator / Business Centre (where still separate)
- Night Auditor (often reports to Front Office or Accounts with a dotted line to RDM)
In a mid-market hotel in Pune or Bengaluru the Lobby Manager and Front Desk may be the same person on a shift. In a large Dubai marina hotel you will see dedicated Guest Experience Managers and separate Concierge teams.
Housekeeping wing under Rooms Division
The Executive Housekeeper (or Director of Housekeeping) reports to the RDM and controls:
- Floor Supervisors and Room Attendants
- Public Area Supervisors and Attendants
- Linen Room and Uniform Room
- In-house or outsourced Laundry liaison
- Horticulture / Florist (in luxury hotels)
- Housekeeping Control Desk
Room status (vacant dirty, vacant ready, occupied, DND, OOO) flows from Housekeeping to Front Office through the property management system. That single data flow is why both departments sit inside Rooms Division.
Why Engineering sits on the Rooms Division chart
Guests do not separate "Housekeeping cleaned my room" from "the AC works". Engineering (also called Maintenance or Facilities) keeps plant, HVAC, plumbing, electrical fittings and guest-room gadgets working. On the organisation chart you should show:
- Chief Engineer reporting to GM, with a coordination line to the Rooms Division Manager.
- Duty / Shift Engineers receiving room-maintenance tickets from the Housekeeping Control Desk.
- OOO (out of order) rooms marked jointly by Housekeeping and Engineering until work is complete and Front Office can sell the room again.
In Gulf hotels, especially desert-climate properties, Engineering load on guest rooms (HVAC, water heaters, bathroom fittings) is high, so the daily coordination meeting between RDM, Executive Housekeeper and Duty Engineer is a standing practice. Indian heritage and palace hotels add another layer: conservation teams for heritage fabric still coordinate room closures through Rooms Division.
How the three wings work together day to day
A useful exam example is the morning room-status cycle:
- Night Auditor closes the previous day's occupancy figures.
- Housekeeping Control Desk opens the house and assigns floors.
- Room Attendants clean departure and stay-over rooms; Floor Supervisors inspect.
- Vacant-ready status updates Front Office so Reception can assign rooms.
- Any fault raises a maintenance ticket; Engineering attends; room may go OOO until cleared.
- Front Office sells only vacant-ready inventory and handles guest requests that need Housekeeping or Engineering (extra pillows, AC noise, TV remote).
When this loop breaks, guests wait in the lobby, upselling fails, and online reviews suffer. That is why examiners ask for the organisation chart and the coordination flow.
Organisation chart differences by hotel size
Large full-service hotel (city five-star / Gulf luxury)
Separate RDM, FOM, Executive Housekeeper, Chief Engineer, Assistant Managers on each wing, dedicated Lobby Manager, GRE, Concierge, Floor Supervisors per floor block, and a 24-hour Control Desk.
Mid-scale / limited-service hotel
Often no separate RDM — Front Office Manager acts as Rooms head. Housekeeping may be led by a Housekeeping Supervisor. Engineering may be one or two multi-skilled technicians. Night shifts combine Front Desk with supervisory cover for Housekeeping.
Boutique and heritage properties in India
Flat charts are common. The Resident Manager may personally oversee room readiness. Still draw the logical Front Office–Housekeeping–Engineering links even if titles merge.
Exam tips for Rooms Division hierarchy
BHA105 Unit 1 questions often combine definition, chart and coordination. Prepare as follows:
- Likely 5-mark: Define Rooms Division; list departments under it; state who the Rooms Division Manager reports to; difference between Front Office and Housekeeping roles.
- Likely 10-mark: Draw a labelled rooms division organisation chart for a large hotel including Engineering; explain inter-departmental coordination for room status; compare large vs small hotel charts.
- Keywords to write: Rooms Division Manager, Front Office Manager, Executive Housekeeper, Chief Engineer, Lobby Manager, Floor Supervisor, Control Desk, OOO, vacant ready, guest cycle link.
- Diagram to draw: Vertical org chart from GM → RDM → three department heads → assistants → supervisors → operational staff. Add a dotted line from Chief Engineer to RDM if your institute teaches Engineering as a sister department.
Practise drawing the chart in under three minutes. Label every box; unmarked charts lose marks even when the shape is correct.
FAQ
What is a rooms division organisation chart?
It is a diagram that shows reporting lines for Front Office, Housekeeping and (where taught) Engineering under the Rooms Division Manager. It helps students and new staff see who reports to whom for room readiness and guest service.
Does Engineering always report to the Rooms Division Manager?
Not always. Many hotels keep the Chief Engineer reporting to the General Manager, with a strong coordination link to Rooms Division for guest-room maintenance and OOO rooms. Your answer should mention both the solid and dotted reporting lines as taught in class.
Is Rooms Division the same as Front Office?
No. Front Office is one department inside Rooms Division. Housekeeping is the other major operational wing. Together they deliver the room product.
Why do examiners include Engineering in this unit?
Because room sale depends on maintenance as much as cleaning and check-in. Showing Engineering on the chart proves you understand end-to-end room readiness.
How do Indian and Gulf hotels differ on this chart?
Titles and depth of hierarchy differ more than the logic. Large Dubai and Doha hotels often have deeper Front Office guest-experience layers; many Indian mid-scale hotels flatten titles. The Front Office–Housekeeping–Engineering coordination loop remains the same.
Where can I verify the official unit wording?
Use the current NCHMCT B.Sc. Hospitality & Hotel Administration syllabus PDF on nchm.gov.in and match Unit 1 under BHA105.
